ROLE OVERVIEW

The Event Service Manager (ESM) has overall responsibility for all logistics (excluding program content). The ESM is an expert in event planning, hotel negotiations, and five-star customer service for Westfall Gold Major Donor Events (MDE).


RESPONSIBILITIES

As a member of the Client Service Team, maintains the primary relationship with the client regarding all aspects of Event Management. Builds a strong long-lasting relationship with clients based on a high degree of integrity and professionalism. Proactively drives pre-event preparation and communication with the client, anticipating client needs, and instilling confidence and trust. Resolves concerns raised by clients with a win-win approach.

As a member of the Client Service Team, delivers products and services on-time and with excellence to ensure a successful MDE and an exceptional client experience. Collaborates with the Senior Consultant, the Creative Account Manager, and other team members and vendors to deliver a unified, seamless experience. Assists in any Client Service Team activity as necessary to ensure a successful MDE and an exceptional client experience.

Manage all aspects of event and hotel logistics ensuring a successful MDE that reduces the burden on the client. Oversees the execution of all details/logistics for the MDE. This includes: resort site selection, hotel contract negotiation, food & beverage selection, private reception coordination, registration, guest letters, seating charts, welcome bags/pillow gifts, name tags, AV production coordination, and collection and tracking of participation forms.

Leads the on-site MDE experience for the clients and donors. Acts as the hotel liaison from contracting to event execution. Leads event management personnel (Westfall staff, hotel staff, and vendors) to ensure deadlines and expectations are met. Engages with clients and the guests to ensure requests and issues are appropriately addressed with five-star customer service.

Accomplish other objectives, as necessary or assigned. Other activities related to Major Donor Events or company related projects as assigned from time to time.

SCHEDULE & TRAVEL

Mondays through Fridays from 9:00 am – 5:30 pm for non-travel days. Major Donor Events require travel and work from Wednesday to Sunday. In addition, travel is required for client meetings, site visits, etc. Required travel will be approximately 25% and may be up to 50% during the spring season.


QUALIFICATIONS

Experience

  • 5+ years of event management or other relevant experience

Skills

  • Top-notch verbal/written communication, negotiation and presentation skills
  • Advanced experience in using Microsoft Office, Dropbox, and project management software
